One intake record linking the document, required information, and responsible team
Document workflow automation
Document workflow automation
Stop chasing attachments, retyping information, and asking who has the next approval. Honor Tech connects document intake, data extraction, human review, approval routing, and status tracking into a workflow your team can follow. The solution may use Apex Document Management, extend your existing software, or combine a focused application with the systems you already rely on.
A strong fit when
Know what arrived, what is missing, and who needs to act.
Teams processing recurring documents such as invoices, applications, contracts, or case records through shared inboxes, folders, and spreadsheets. A strong starting point is one document type with a defined owner, repeatable review rules, and a clear destination. If the process is still unclear, a workflow and integration assessment can establish the scope before implementation.
Less re-entry, with extracted information checked before it drives a business action
Clear approval queues, correction requests, and exception ownership
Visible status from receipt through confirmed delivery to the next system
Capabilities
Follow the document from arrival to completion.
We scope the steps your operation needs, including the work people must still review. An uploaded file is the start of the process; completion means the right decision and information reach their agreed destination.
Document intake
Collect documents through agreed channels such as an upload form, monitored mailbox, scanner, or existing application. Capture required details, check file types and completeness, identify possible duplicates, and acknowledge receipt.
Data extraction and validation
Read fields from structured files or use optical character recognition (OCR) to turn scanned text into usable data. Where formats vary, AI-assisted extraction may help. Check required fields and business rules, and send uncertain values to review. Representative samples establish what can be extracted reliably.
Human review and corrections
Show reviewers the source document alongside the captured information. Let them confirm values, correct mistakes, request missing pages, and record a reason for returning an item. Define which documents always need review and which can proceed after agreed checks.
Approval routing
Route work by document type, department, amount, or another agreed rule. Define sequential or parallel approvals, authorized decision-makers, delegation, reminders, and escalation. Record approval, rejection, and resubmission decisions against the document version reviewed.
Exceptions and recovery
Give unreadable scans, missing information, suspected duplicates, rejected requests, and failed transfers a visible queue and an owner. Preserve the reason, supporting notes, and next action so staff can resolve the problem and resume processing without losing the history.
Status and history
Provide searchable records showing the current step, responsible person, age, due date, and next action. Track important changes and decisions so staff can answer status questions and managers can see where work is waiting.
Connections to existing software
Send approved documents and validated fields to accounting, customer, case-management, or other business software through supported APIs, vendor connectors, or controlled file exchange. Confirm receipt, prevent duplicate updates, and make failed deliveries visible. Vendor access and licensing are checked before an integration is promised.
Access and document handling
Define who can view, edit, approve, download, or administer each record. Agree on document storage, version history, retention, backups, and any external processing before implementation. Sensitive documents and disconnected environments affect the available design choices.
Implementation options
Use the right foundation for your document process.
We review your workflow, existing software, document samples, and deployment requirements before recommending an approach. One project can combine configuration, development, and integration, with each part identified in the scope.
Apex configuration
Choose this when Apex is a good home for your documents and its supported capabilities meet the agreed requirements. We confirm the available settings in a demonstration and configure what the product supports. Extraction, approval rules, and connections described on this service page are assessed individually; they are not a list of included Apex features. Apex can run on your premises or in Honor Tech’s Azure environment.
Custom development
Choose this when the process needs review screens, business rules, exception handling, or user experiences that available products cannot provide. Honor Tech can build a focused workflow application or an extension around an existing platform. Custom work has its own implementation scope, testing, deployment, and ongoing maintenance responsibilities.
Existing-system integration
Choose this when your current document repository or business application should remain the main record system. We can connect intake, extraction, review, or approval steps to it through verified interfaces. This may involve configuring vendor-supported tools, writing integration code, or both. A limited interface may require a controlled import or a manual handoff.
The choices that shape cost and scope.
- Document types, layout variation, scan quality, volume, and processing deadlines
- Fields to extract, validation rules, and the amount of human review required
- Approval stages, exception paths, user roles, and reporting needs
- Vendor interfaces, licensing, record matching, and delivery confirmation
- Hosting, sensitive-data restrictions, retention, migration, and ongoing support
Apex product pricing is separate from professional services. The proposal identifies configuration, custom development, integration, and recurring service or vendor costs as applicable. A disconnected Apex installation cannot use an online extraction or integration service without an approved connection to that service.
Delivery approach
Start with one document type and prove the whole path.
- 01
Walk through the current process with the people receiving, reviewing, approving, and using the documents. Start with redacted samples, including difficult examples and common exceptions.
- 02
Confirm the required fields, review rules, approval authority, destination system, access restrictions, and measures of success. Evaluate Apex configuration, custom work, and supported integration options.
- 03
Build a focused pilot and test extraction against agreed sample values. Exercise missing pages, corrections, rejection, duplicate submissions, unavailable approvers, and interrupted transfers.
- 04
Roll out with staff training, status views, recovery procedures, and named support owners. Expand to more document types after the first workflow meets the agreed acceptance criteria.

Useful detail before the first call.
Do we need Apex to automate our document workflow?
No. Honor Tech can work with a suitable existing repository or business application, build a focused custom workflow, or use Apex where it fits. The recommendation depends on your requirements, supported interfaces, deployment constraints, and budget.
Is this the same as storing documents in folders?
Storage keeps a file available. Workflow automation also tracks the required information, checks, reviews, approvals, exceptions, and delivery steps around that file. We define what completion means for your process before selecting the software.
Can extraction run without someone checking every field?
Some documents may pass agreed validation rules automatically; others need mandatory review. Scan quality, layout variation, the fields involved, and the consequence of a mistake determine the approach. We evaluate representative samples and agree on review thresholds rather than promise a universal accuracy rate.
Can we keep our current accounting or case-management system?
Often, yes. We first verify the access, vendor permissions, licensing, and supported ways to exchange documents and data. The design identifies which system owns each record and how delivery is confirmed. If reliable automated exchange is unavailable, a controlled file transfer or staff handoff may be more suitable.
What happens to rejected documents or a failed connection?
Rejected and incomplete items return to a defined correction or exception queue with a reason and an owner. A failed connection must remain visible until resolved. Retry rules, duplicate prevention, reconciliation, and a manual recovery path are agreed as part of the integration scope.
What should we bring to the first conversation?
Bring the document types, approximate volume, current steps, software involved, common delays, and any security or hosting constraints. A walkthrough or redacted examples are enough to start. We agree on an appropriate exchange method before requesting sensitive documents or system access.
